ADMINISTRATIVE DEPARTMENT FUNCTIONS

  • Maintain and manage the counter in the administration department
  • Open and close the office door according to the set time
  • File system management (administrative, financial, civil, criminal files) and correspondence management (reception of letters, distribution of letters, posting of letters)
  • Manage and keep government movable assets in good condition and safe to use
  • Updating and maintaining the store of office equipment and stationery properly, neatly and orderly
  • Record, update and manage leave requests for officers and staff
  • Implement the disposal of administrative files, case files, capital property and office inventory
  • Manage and update the office attendance book every month.
  • Handle the retail money register (PWR) and make recuperation every month
  • Answer, receive and handle telephone calls and make outside calls when requested by officers and staff
  • Prepare correspondence and documents required by officers, staff and responsibility centers (PTJ)
  • Typing notes of civil and criminal evidence (if directed by the officer)
  • Perform financial duties if the officer concerned is on vacation
  • Ensure the area and court building are in a clean and perfect condition
  • Ensure security guards always patrol and monitor the court area so that it is always safe and under control.
  • Execute other instructions received from time to time

 

FUNCTIONS OF THE FINANCIAL DEPARTMENT

  • Manage all government revenue collections and deposits (receipt preparation, collection statement preparation and depositing the proceeds into the bank)
  • Receive and record (bill book) all bills (electricity, water, telephone, cleaning and others)
  • Print trust reports and revenue account reports and prepare revenue and trust account statement reports
  • Prepare revenue input reports for revenue accounts and trust accounts and counter transaction record reports
  • Prepare cash balance report (KKWT)
  • Provide individual balance reports for trust accounts
  • Prepare documents for the release of trust deposits
  • Conduct disposal involving financial documents
  • Other duties as directed by superior officers from time to time

 

NOTICE SENDER FUNCTION

  • Carry out the task of delivering legal documents to the parties named in the document by self-delivery
  • Placing notices that cannot be delivered in public places either on land/buildings as an announcement
  • Prepare submission affidavit/non-submission affidavit
  • Prepare a sworn statement
  • Paste orders and sales declarations

 

FUNCTION OF LEGAL ADMINISTRATION ASSISTANT (CIVIL CASES)

  • Receive, review and file documents into the e-Court Finance system.
  • Receives, registers and assigns case numbers and opens case files per code for all magistrate court civil cases.
  • Compile, enter related documents and update the documents filed in each case.
  • Process all relevant documents that need to be signed by the Magistrate for example Subpoena, Certificate of Absence, Application Notice and so on.
  • Receive and answer phone calls and correspondence from lawyers/lawyer clerks related to civil cases.
  • Updating the movement of case files and decisions to civil, in the cause book, masterlist and SISPIM system.

 

FUNCTIONS OF COURT BAILIFFS

  • Registering cases of Writ of Foreclosure and Sale, Writ of Distress, Writ of possession, Summons of Judgment Debtor and Order of Commitment for codes 76, 76J, 76WS
  • Manually process documents for cases of Writ of Foreclosure and Sale, Writ of Distress, Writ of possession, Summons of Judgment Debtor and Order of Commitment for codes 76, 76J, 76WS
  • Execution of Arrest Orders for Absentee Judgment Debtors and Commitments
  • Execution of Committing Orders

 

FUNCTION OF LEGAL ADMINISTRATION ASSISTANT (CRIMINAL CASES)

  • Registering criminal cases in the cause book (codes 81, 82, 83, 83D, 84, 85, 86(JPJ), 86(POL), 87 and 89(UT))
  • Preparing correspondence related to criminal cases
  • Record the results of completed criminal cases into the criminal cause book
  • Provide information on the registration and disposition of criminal cases for reference in the preparation of monthly statistics
  • Prepare the appellant's appeal record
  • Receive, register and manage remand applications and other applications from related agencies

 

FUNCTIONS OF CIVIL INTERPRETERS

  • Acting as a Civil Court Interpreter in Open Court and in chambers.
  • Calling cases in Open Court and in chambers
  • Translate orally and in writing
  • Prepare civil files during daily hearings and update mention or hearing dates into the magistrate's diary or magistrate's planner
  • Handle the recording of Court Recording Transcription (CRT) during the trial
  • Make a copy of the CRT recording at the request of the lawyer
  • Provide a list of causes of daily cases
  • Conduct civil hearings and mark documents and case items
  • Assist in handling mediation cases
  • Reviewing the draft order/judgment for the magistrate's approval
  • Provide monthly statistics
  • Answering all correspondence, phone calls and others directed by the magistrate from time to time

 

FUNCTION OF CRIMINAL INTERPRETERS

  • Assist magistrates in conducting proceedings in open court and in chambers
  • Prepare arrest warrants, arrest warrants and court orders
  • Prepare all correspondence related to criminal cases
  • Prepare bills for payment of fines through the e-Court Finance system
  • Manage warranty matters
  • Translate charges and documents
  • Provide monthly statistics and special statistics
  • Updating the daily diary
  • Reviewing the draft order/judgment for the magistrate's approval
  • Handle the recording of Court Recording Transcription (CRT) during the trial
  • Make a copy of the CRT recording at the request of the lawyer
